Overview

What happens in a project stays in the project! Strengthen your follow-up game by logging everything that arises during project delivery but is not a part of the Project Plan. These items could be risks, issues, project checklists, reminder checklists, or something unexpected such as a rescheduled or extended call or something that needs to be updated or verified.


User Access

  • All GUIDEcx internal users (Admin, Managers, Guides, Task Owners, and Contributors) have full access to Project Action Items.

  • Customer and Third-Party users who have a full project view can view Project Action Items


How to Use Project Action Items

  1. Action Items can only be assigned to Internal Team Members.

  2. The details of a Project Action Item cannot be accessed by customers and third parties. Individual action items can be hidden entirely from external users. (Shown Below)

  3. Though you can mark statuses on Action Items, notifications are currently not tied to them.


Best Practices

  • The Project Manager should ensure all Action Items are closed before marking a project 'Done'.

  • Descriptions for Project Action Items should be informative and specific to lessen the likelihood of forgetting details/steps related to the project or a specific task.

  • Set due dates and priority statuses on action items so that you can move through them based on what is most pressing.

  • Make sure you make the visibility 'Hidden' if you do not wish for the Customer to view that Action Item.


FAQs

Are reminder emails/notifications sent for Project Action Items?

No! currently, notifications and emails are not sent for Project Action Items. The team should make it a practice to go through Action Items regularly to stay on top of it!

Can customers and third-party members view Project Action Items?

Yes, if they have Full Project View enabled and if the Project Action Item has external visibility set to 'Visible''.
