We've heard your feedback! While customer engagement remains a core capability of GUIDEcx, we understand that too many emails can be overwhelming. In GUIDE 2.0, we're taking a more streamlined approach to email notifications, significantly reducing the volume while still leveraging this vital communication channel.
Emails Available in GUIDE 2.0
GUIDEcx supports two types of emails: transactional and scheduled. Transactional emails are sent immediately upon an action taken in GUIDEcx. Scheduled emails are sent at a scheduled time each day.
Transactional Emails
Project Welcome - Triggered when a project’s status changes from “Pending” to “Start Project”. Any users added to the project after it has started will still receive the Welcome email when they’re added through the Team tab. The content of this email is pulled from the “Internal Welcome Message” and “Welcome Message” fields in the Overview tab.
Task Assignment - Triggered when a task becomes active for a user (once all dependencies are met and the start date has arrived). The email content is pulled from the Task Instructions.
PM: Task Status Change - Triggered when a task is updated to "Stuck" or "Done". This email is only sent to the PM of the project.
CSAT - Milestone CSAT can be turned on through the toggle setting within the milestone. Project level CSAT is controlled by the CSAT setting within the org Settings menu. CSAT emails are triggered by a milestone being completed or a project being updated to “Done”.
“@Mention” Notification - Triggered by a user mentioning another user in a project or task channel.
Scheduled Emails
Project Overview/Consolidated Overview - Sent weekly on Mondays. Content for this email comes from project related metrics as well as the “Internal PM Note” and “PM Note” within the Overview tab.
Task Due Reminder - Similar behavior to our Legacy experience.
Daily Digest - Daily email sent at 6 PM ET that highlights missed conversations from the day.
Attachments in GUIDE 2.0 Emails
Attachments are supported in Task Assignment and “@Mention” emails. Users can access attachments via the links provided in these emails.
All four of the following emails—Project Welcome, Task Assignment, “@Mention”, and Project Overview—support rich text content, allowing you to use hyperlinks, custom fields, and even embed from YouTube.
Attachment links expire after 24 hours, as they require an encryption key to maintain security within the application. After this period, users must log into the application to access, view, and download the attachments.
Custom Email Templates
The new version of our emails will still be able to leverage any Custom Email templates you have built previously.
Please note: We don’t yet have customizable templates for the Message Mention Email or the Daily Digest email, those are only available with the standard GUIDEcx template.
Notification Preferences
Currently, a user’s email notification preferences are not reflected in GUIDE 2.0.
