Overview

The Time Tracking and Reporting feature provides visibility into project profitability, resource allocation, and budget burn rates. By aggregating billable and non-billable hours, estimated vs. actual effort, and calculated costs, this tool helps admins and managers ensure projects remain profitable.

How to use Time Tracking Reporting

Filtering Data

Filter reports by Project Manager, Specific Users, Customers, Projects, or Project Status to isolate performance metrics.

Views

  • Project View: Aggregates metrics at the macro project level to monitor margin health.

  • User View: Aggregates metrics by team member to monitor individual output, capacity, and billability.

Click direct links within the report to navigate straight to the source item:

  • Projects: View or log time records at the root project level.

  • Phases & Milestones: Read-only levels; time cannot be logged directly on a phase or milestone.

  • Tasks & Subtasks: Expanding task hierarchies opens the side drawer to view or log granular task-level time.


Best Practices

  • Continue Using Time Records for Daily Time Tracking:

    This report is designed for high-level reporting, analysis, and auditing. Team members should continue using standard Time Records to log their time as part of their daily workflow.

  • Set Rates Accurately:

    Ensure default Cost Rate and Billable Rate values are updated in user profiles to avoid accurate hours displaying $0 profitability calculations.

  • Populate Task Estimates:

    Fill out the Estimated Hours field during project scoping so the report can calculate scope creep in real time.


Frequently Asked Questions (FAQs)

  • Why can't I log time directly onto a Phase or Milestone?

    Time must be anchored to actionable work items (Tasks/Subtasks) or the overall Project container to maintain proper work-breakdown hierarchy.

  • Can Administrators log or edit time on behalf of another user?

    Yes. Admins can click into a task drawer directly from the reporting view to add or adjust time entries for team members.

  • Why is my Profit/Loss showing negative or zero?

    Check the following:

    1. Make sure hours that should generate revenue are marked Billable.

    2. Verify the user's Billable Rate is greater than $0.

    3. Verify the user's Cost Rate is greater than $0.

    4. Confirm that time has been logged against the appropriate project, task, or subtask.

    Tip: A negative Profit/Loss means the calculated Total Cost is greater than the calculated Total Billable amount.
