Overview

Communicating over Task Notes helps teammates be on the same page by providing visibility. It's also a great way to maintain transparency with the customers. Users can come back to task notes at any point in time to refer to an important point or understand the context in depth.


User Access

  • Customers can only see task notes on customer tasks and internal visible tasks.

  • Internal team members can see all task notes (internal and public)


Best Practices

  • Using the Notes feature directly in a task is best used when referring to needed items and questions pertaining to that task. Whether it is customers, internal team members, or even third parties using notes to effectively communicate each other's needs and collaborating together to accomplish the completion of the task.

  • Internal Notes: Internal team members are able to send notes to each other using the "Internal" option. This will prevent any customer from viewing those notes. Should you have a task that is also internal this will default your note to be internal.

  • Public Notes: Using the public note is a great way to communicate with the entire team involved in the project. It is also the best way to communicate directly in the task to your customer team members.

  • Unaddressed Notes: Leaving an unaddressed note is a great way to notate items that are not directed at any team members and are more of a reminder to yourself. Leaving an unaddressed note will not notify any other team member other than the GUIDE who is assigned to the project.

  • It is always best when leaving a note for a specific person to @mention them. This will ensure they are notified directly of the note.


FAQs

How do I cc someone on task notes?

To cc an individual on a task note, simply @mention the individual (type "@" followed by their name.) This will send an email notification to the user with the note. You can even type cc before so everyone knows who was cc'd.

Keep in mind that the user you'd like to @mention must be invited to the project. Otherwise you won't see them in the drop down

Yes! Using the @ feature to mention a customer will send them an email.
