Notes Overview

Notes are a critical piece of any successful implementation. Having the ability to easily and quickly communicate with customers and your internal team has a massive impact on the execution of a successful project.

Notes are a great way to keep communication flowing. They are a place where everyone involved in a project or task can exchange ideas, attachments, and even emojis.

There are two types of notes:

  1. Project-level

    These are notes that can be about the project in general. These notes have their own tab within a project. (Seen below.)


    2. Task-level.

    These are notes that can be about a specific task. Each task has a tab within it for notes. This is what the tab looks like.

You can easily navigate your notes by toggling between task and project notes, as well as internal and visible notes, and also search for content within the notes too!


Consolidated View of Task Notes

With a consolidated task notes view, you can see all of the notes from across all of the tasks within a project from the notes tab.

You will still be able to view notes for the overall project. Go to the “Notes” tab at the project-level. Simply select which you'd like to see in the drop-down menu (shown above).


Project Notes

Project notes are a great way to contact team members when you need to discuss aspects of the project that don’t associate with a specific task. To find project notes, locate the “Notes” tab within a project and make sure you select “Project Notes” in the drop-down menu located in the top left-hand corner of the page.

Here you can send a message to the whole team, or direct the message to a specific individual or group by “@” mentioning them. Anyone “@” mentioned will receive a notification via email.

You can choose if you would like the message to be “Public” to the whole group, or appear just for “Internal” facing members. Internal messages will appear as yellow, while Public messages will be white. The default setting for notes is "Internal", and can be changed when writing the note by clicking "Public" as shown in the screenshot above.


Task Notes

You can add notes to a task or a project. Each of these has an option for the message to be viewable by the customer or private for internal use. You can "@" mention groups of people or individuals to send a notification. You can format the text of your message, include hyperlinks, and paste images.

To add a note to a task, click the icon shown below.

Additionally, you can navigate there from the task menu.

PRO-TIP: Use keyboard shortcuts "Command + Enter" and "Tab + Enter" to submit notes.


Attachments

Pro tip: Add files and hyperlinks to your templates so they are pre-loaded with everything your team needs when it comes time to create a project with that template.

Here is an example of how your hyperlink or attachment shows up in the email that is generated from the task assignment.

File Storage Limit

We want you to be able to get your job done, so with GUIDEcx there are no limits to the number of files or hyperlinks you may add to your projects! While the number of files you may upload is unlimited, individual files must be smaller than 50 MB. Add away!

If you require file sizes greater than 50 MB, please reach out to your CSM for more information.

Naming Hyperlinks

Say goodbye to long, confusing Google Drive or Dropbox links! You now have the ability to give your hyperlink a name so your team members know exactly what the link is for. Below is a screenshot of the attachment sub-window within the task edit window. Add the hyperlink first then give it a name below.

This is how your named hyperlink will appear in the task assignment email that is emailed out.

Drag and Drop

You can drag and drop attachments in the “Notes” sections of projects and tasks. This feature is also available in the “Attachments” tab of projects.

Approved Attachment File Types

As of November 2022, GUIDEcx will accept all file types outside of the rejected list below, as long as the file has an extension. If a file does not have an extension it will be rejected.

Note: Zip files are now approved as of June 2023!

Rejected File Types:

  • .svg

  • .html

  • .js

  • .css

  • .exe

  • .sh

  • .dll

  • .cdm

  • .dmg
