Project Attachments

Learn to attach files to your project and tasks.

Overview

Keep all project-specific files in one place so that they are easily accessible to all external and internal project team members.


User access

  • Admin, Managers, Guides, Task Owners, Contributors, Third-Party, and Customers can upload attachments.

  • Admins, Managers & Guides can delete all attachments they have access to.

  • All other users can only delete attachments that they uploaded themselves.

  • External users cannot view attachments where external visibility is set as 'Internal'.


How to add and view Project-Related Attachments

These attachments are related to the project in general

  • Locate the "Attachments" tab at the top of any project

  • Click the "Upload" button to upload files from your device

  • Click the "Download All" button to download all project files to your device for record-keeping purposes

Pro-Tip: Under the Attachments tab you can see all attachments at the project level, the milestone or task it's related to, the date it was uploaded, and who it was uploaded by.


How to add and view Task Specific Attachments

These attachments are related to specific tasks that may request or benefit from attachment uploads

  1. On any task card, locate and click the paperclip icon which signifies attachments

  2. View attachments that have been uploaded by a team member

  3. Upload Task Specific files from your device by clicking the "Upload" button or by dragging and dropping files directly

  4. Navigate to the "Attach External Links" button to provide links to Dropbox, websites, articles, etc. that can be Public or Internal Only. These hyperlinks can be simply named to avoid messy and distracting URLs

Pro-Tip: Rename your hyperlinks to communicate to team members exactly what the link is for.

Attachments can be seen within Task Assignment emails. The image below shows how your named hyperlink appears in the Task Assignment email.

Pro-Tip: You can also drag and drop attachments in the "Notes" section of projects and tasks.


Attachment Attributes!

Attachments can be added or viewed by either going to the Attachment section in a Task or in the Attachment tab in the project!

Pro tip: Add files and hyperlinks to your templates so they are pre-loaded with everything your team needs when it comes time to create a project with that template.

Here is an example of how your hyperlink or attachment shows up in the email that is generated from the task assignment.

File Storage Limit

We want you to be able to get your job done, so with GUIDEcx there are no limits to the number of files or hyperlinks you may add to your projects! While the number of files you may upload is unlimited, individual files must be smaller than 50 MB. Add away!

Note: If you require file sizes greater than 50 MB, please reach out to your CSM for more information on increasing the limit on file sizes allowed.

Naming Hyperlinks

Say goodbye to long, confusing Google Drive or Dropbox links! You now have the ability to give your hyperlink a name so your team members know exactly what the link is for. Below is a screenshot of the attachment sub-window within the task edit window. Add the hyperlink first then give it a name below.

This is how your named hyperlink will appear in the task assignment email that is emailed out.

Drag and Drop

You can drag and drop attachments in the “Notes” sections of projects and tasks. This feature is also available in the “Attachments” tab of projects.

Approved Attachment File Types

As of November 2022, GUIDEcx will accept all file types outside of the rejected list below, as long as the file has an extension. If a file does not have an extension it will be rejected.

Note: Zip files are now approved as of June 2023!

Rejected File Types:

  • .svg

  • .html

  • .js

  • .css

  • .exe

  • .sh

  • .dll

  • .cdm

  • .dmg


Best Practices

  • Make sure to set the visibility of attachments as internal if you do not wish for external users to view them.

What is the maximum number of files that can be attached?

Unlimited, with GUIDEcx, there are NO limits to the number of files or hyperlinks you may add to your projects!

What is the maximum file size allowed as an attachment?

Though the number of uploaded files is unlimited, individual files must be less than 50 MB. If you require file sizes greater than 50 MB, please reach out using our Support Chat for more information
