Overview

We're excited to introduce Project Plan View (v2)! The new view was built to make project planning faster, reduce clicks to edit, and create a more streamlined workspace.

Transitioning Smoothly

We know change takes time, so for now, you can easily switch between the legacy view (v1) and the new plan view (v2). Learn how to enable this toggle feature in the User Access section below.


User Access

To access Plan View V2...

  • An Admin (license type) can turn on "Project Plan v2" in Labs. This is an org level feature and when enabled, all users (internal and external) will see the Plan v2 view option in the project plan.

  • This is a user specific view. The selection by one user does not force other users in the organization to use that view.

  • Users can toggle back to Project Plan v1 at any time.

Key Changes

Here's a quick rundown of what's different:

πŸš€ More Speed & Efficiency:

  • Inline Editing: Create new tasks and update status, assignees, and dates without opening the drawer.

  • Auto-Save: Your changes save automatically as you work – no more manual saving!

  • Background Navigation: Move between tasks without closing and reopening the task drawer.

  • Cross Template (Phase) Dependencies: Tasks in one Template (Phase) can now be dependent on a task in a different phase, without an integration in Recipe Builder.

  • New Text Editor: The task details pane is now responsive, adjusting as you type.

  • Unit Library: Save tasks, milestones, and phases to a Unit Library that can be leveraged and reused when building out projects and templates.

  • Messages: Our Notes experience is leveling up to Messages, making customer engagement even easier. Enjoy new functionality including threaded replies and β€œSave for Later”, while still leveraging foundational pieces like β€œMentions.”

πŸ“ Terminology Updates:

  • Templates are now called Phases (saved blueprints for project sections).

  • Task Groups and Checklists have been removed.

  • Tasks can now have Subtasks. These subtasks are more powerful – they function like full tasks (assignees, due dates, etc.).

  • Third-Party Members are now called Partners.

❌ Removed Features:

  • Event Tasks and Participant Tasks are no longer available in v2.

βœ… Enhanced Features:

  • Tags: Easier to add to tasks.

  • Durations: Set start and due dates using durations.


Legacy Plan View vs. Plan View v2

Plan v2 is still evolving. While we have enhanced functionality, there are some things you can't do in v2 yet, and will need to use the Legacy Board View for.

  • Project-Level Edits: Edit Project Name, Edit Customer, Edit Project Start/Planned Dates

  • Gantt View: Temporarily unavailable in v2 (coming later this year!). Access in v1 for now.

  • Deleting Phases: Phases added in v2 cannot currently be deleted from v2.

  • Adding Team Members: Manage project team members in v1.

  • Custom Fields Management: Clicking Custom Fields will take you back to v1.

Template Syncing Notes

  • Phases added in Plan View v2 will not show up in Plan View v1, as phases are a new unit and are not supported in v1. If you add a phase in v2, then switch back to v1 you may receive an error message. Click on the "home" link to continue.

  • Adding a template in v1 will show up as a Phase in Plan View v2.

  • Editing a template within a project in v2 (that was originally added in v1) might not reliably update the v1 view.


What About Your Customers?

  • Customers with Compass or My Tasks View will not see any changes.

  • Customers with Full Plan View will see the "Plan v2" toggle if this feature is enabled by an Admin in Labs. When enabled, all internal and external users can see the toggle and change views.
