Centralized management of all tasks

Overview

The “Tasks” menu item provides a centralized location for managing all of your various tasks, regardless of which project they are associated with. The Tasks menu makes it easy to prioritize your work and eliminates the need to navigate to individual projects.


User Access

All GUIDEcx users can view, filter, and export a consolidated list of tasks across projects.

  • Admins and Managers can view all tasks across all projects in the Tasks tab.

  • Guides can view all Tasks belonging to all projects they are invited to in the Tasks tab.

  • Task Owners and Contributors can view all tasks they are assigned to or are participants in.


Global Tasks Layout

The task table is designed for clarity, providing all essential information about each task at a glance, including its associated project and due date.

Task Status: Located on the far left of the table - quickly update a task's status by simply clicking the colored dot and selecting from the dropdown menu.

Sorting: Organize your tasks efficiently using two sorting options --

  • Task: Sorts by the task name

  • End Date (Due Date): Sorts by the task's due date

Searching: Easily find specific tasks by searching using the Task Name. We're working to expand search capabilities in the future, but for now, it's focused on task names.

Inline Editing for Assignee: The Assignee column offers a convenient inline edit experience, allowing you to update task assignments without needing to open the full Task Drawer.


Filtering Tasks

The Task page now includes robust filtering options, introducing powerful new capabilities such as "Is not one of." This new functionality allows for more precise control over your task views.

Values you can filter on:

  • Assignee - Task assignee

  • Status - Task status

  • Project Status - Tasks associated with projects that have a specific status

  • Tags - Task tags

  • Customer - Tasks associated with a specific customer

  • Project - Tasks associated with a specific project

  • Responsibility

  • Visibility

  • Only Overdue tasks

Saved Filters: Found a filter combination that's perfect for your workflow? Now you can save it for quick access! Just click the "Favorite" star icon next to your filter. You'll then be prompted to give your saved filter a name. Once saved, you can easily apply it anytime by clicking the "Saved Filters" button and selecting it from the dropdown menu.


Column Definitions

  • Status - Status of the task

  • Task - Task Name

  • Customer - The customer associated with the project that the task belongs to

  • Project - The project that the task belongs to

  • Phase - The phase that the task is part of

  • Milestone - The milestone that the task belongs to

  • Dependencies - Displays the dependency associated with the task

  • Assignee - The task is assigned to. For many users this will be limited to your own tasks, but for users with more visibility they will see tasks that belong to other users rather than just their own.

  • End Date - The due date of the task

  • Project End - The Planned End Date of the project that that task belongs to


Clickable Links

  • Task - Opens the Task Drawer associated with the task and you remain within the Tasks screen

    Project - Takes you to the overall Project; use the “back arrow” in the browser navigation to return to the Tasks page

  • Phase - Takes you to the project, specifically the Phase, where the Task is located: use the “back arrow” in the browser navigation to return to the Tasks page

  • Milestone - Takes you to the Milestone where the task is located: use the “back arrow” in the browser navigation to return to the Tasks page


FAQ's

Does the Tasks page have bulk actions?

Not yet (as with the current Legacy experience). But, we have plans to build this functionality out.
