6. Verify Your Domain

Send project related emails from your organization's email domain.

Overview

GUIDEcx sends automated emails to task assignees to help keep projects on track — when tasks go active, are nearly due, or become overdue.

By default, these emails come from noreply@guidecx-mail.com.
But once you verify your domain, emails will appear to come directly from the assigned project manager’s email address — making communication more personal and trustworthy.


👥 Who Can Verify a Domain?

Only users with Admin access in GUIDEcx can complete domain verification.

If you’re not an Admin, reach out to someone on your team with Admin rights.


🔧 How to Verify Your Domain

Verifying your domain is a quick process, but you may need help from your IT department or domain administrator.

Step-by-Step:

  1. Log into GUIDEcx
    Go to: Company Details → Settings → Email Section

  2. Copy the required DNS records
    These records are unique to your domain.

  3. Access your DNS settings
    You’ll usually do this in your domain registrar (like GoDaddy, Google Domains, Cloudflare, etc.)

  4. Add the DNS records provided by GUIDEcx
    Paste each record exactly as shown.

  5. Go back to GUIDEcx → Click "Verify"

✅ If everything is set up correctly, you’ll see a green check mark — you’re done!


🧠 Best Practices

  • ✅ DO verify your domain to ensure emails come from your project manager's address — improving deliverability and trust.

  • 🚫 DON’T rely on the default hello@guidecx-mail.com unless absolutely necessary. That’s an anti-best practice (and yes, we said it).


❓ Frequently Asked Questions

Do you spoof my email address?

No. We use DKIM (DomainKeys Identified Mail) to sign messages. This proves to the recipient’s mail server that the message is coming from an authorized sender on your domain.


What if multiple project managers use the same domain?

You only need to verify your domain once. One DNS setup covers all emails from that domain — even across multiple users.


Do I need to set up SPF records?

Nope! GUIDEcx takes care of that for you.
We use a return-path header to ensure SPF authentication passes automatically.


What if I get an error when verifying?

Here are a few tips:

  • Remove your company domain from the DNS record name. Some providers expect just the subdomain, not the full URL.

  • Double-check that the records are formatted and saved correctly.


Will ALL GUIDEcx emails come from the project manager after domain verification?

Not exactly — here's the breakdown:

Here are emails sent from Project Manager's Email:

  • Project Invitation

  • Resend Project Invitation (from the project Team Tab)

  • Project Overview Email (Single Project)***

  • Task Assignment (and resends)

  • @mention Notifications

  • Overdue Task Notifications

  • Milestones Completed

Here are emails sent from noreply@guidecx-mail.com:

  • Resend GUIDEcx invite (from login screen)

  • Forgot Password email

  • Project Overview Email (multiple projects)***

  • Task Watcher Notifications

  • Verification Code emails

  • Task marked as 'Done' or 'Stuck' by team member*

  • All tasks completed on Project**

  • Stuck task status email notification**

  • Done task status email notification**
