The Project Team Builder is a new feature that makes the project creation process easier, faster, and more organized. Specifically, the process of assigning the right resources to the right tasks. That way you know who is doing what and which skills/functions are needed for a given project.
Setup
**IMPORTANT** THIS NEW FEATURE IS ONLY AVAILABLE FOR THOSE USING ADVANCED RESOURCE MANAGEMENT.
To best utilize this new feature, an Admin, Manager or Guide user must set up their organization's functions inside of Resource Management. Next, assign the various users in your organization to the newly created functions. Note that users from the provider organization can be given multiple functions.
Following the functions setup, an Admin or Manager user should visit each of the templates they are using and identify the tasks associated with each function. To assign a function to a task, simply open the task and click on the field "Function Needed for this Task". From there, make the necessary assignment. This may be time consuming initially, but will save project managers a significant amount of time in the future.
Now that internal users have been assigned functions inside of Resource Management and the tasks have been assigned functions within templates, project managers are ready to utilize the new Project Team Builder.
How it Works
While setting up a new project, the project manager will apply the necessary templates to the project. When this happens, GUIDEcx scans the tasks inside of the selected template(s) to compile the functions needed to complete those tasks and the project. These functions will be collected in the Project Team Builder under the “Teams” tab of the project.
When the project manager is ready to invite team members, they will be taken to the “Team” tab where they can begin selecting users to fill the functions needed. When a user is selected to fill a function, the tasks associated with that function will be bulk assigned to the user selected. This will make assigning tasks faster and easier.
Project managers can also utilize this tool for making reassignments. If a function is reassigned to a different user under “Teams”, all unstarted tasks will be bulk assigned to the new user.
Bulk Assign Watchers to Functions
In addition to the new Functions capability, we will also allow users to be bulk assigned as watchers to a particular function. While there are many potential uses for this feature, we see a great deal of value in a project manager being able to assign a watcher to all tasks for a person who will be OOO (out of office). Then when that person returns, being able to remove that user as a watcher. Just another way we are hoping to improve accountability within the app.
Manually Add Functions to the Project’s Team
When you add a template to a project and you wish to add more functions to it, you can manually do so.
Go to the “Plan” tab.
Find the task(s) that this new function must be assigned.
Add the function to the task and hit “Save”.
Remember, you don’t have to assign an individual team member yet. When this function is added to the task, the function will appear in the “Team” tab. If it doesn’t immediately show up, give the page a refresh.
Note: We are working on a “Customer” function, but for now, we have a general “Provider” function.
