How to reassign ALL Projects & Tasks

Overview

The ability to reassign all projects and tasks (if any of the users leave the organization, go on leave, or transition roles) will keep the project's momentum going and your customers won't notice any hiccups in their onboarding experience.

User Access

Only Admins and Managers can edit users and can reassign projects and tasks to other users.


How to reassign all Projects & Tasks

  1. Click on your company logo at the top left of your screen, or click the three-dot menu at the top of the navigation rail and select "Users"

  2. Search for and click on the user whose projects and tasks you wish to reassign

  3. Click on Remove Access which will then pop up a window showing the number of Projects and Tasks assigned to the user

  4. Select the users you wish to reassign projects and tasks, respectively from the drop-down menus

  5. Click "Remove User & Save Changes"

Note: A Manager cannot deactivate an Admin and hence will not be able to reassign projects and tasks assigned to an Admin via this method.


Best Practices

  • Do this before reducing the access level of a user: the option to reassign projects & tasks will not show up if the user's access is being downgraded from Admin/Manager/Guide to Task Owner/Contributor/Observer, so it's best to reassign by deactivating them, then reactivating the user and downgrading their access level.


FAQs

Will reassigning tasks also replace the user as a participant in Participant or Event tasks they've been added to?

The user will be removed as a participant but will not be replaced as a participant in those tasks.

I don't see the user I want to reassign tasks to in the drop-down menu.

It is highly likely that they have not been added to the Function required to be assigned to those tasks. Double check to ensure they have been added to the proper functions so they can be assigned the task.

I don't see the user I want to reassign projects to in the drop-down menu.

It is highly likely that they are not an Admin/Manager/Guide which is required to be a project manager in GUIDEcx. Check to see if they have the right license type so they can own a project.
