Enhanced Function Filter AKA "Pooled Work"

Overview

Before this update, non-admin users could only see tasks for projects they've been invited to, but there are situations where there are tasks that can be completed by any user who has the appropriate function. That's why we're excited to announce the “pool-work” process.

We've released a new Function Filter in the Global Task Filter menu that provides users visibility into tasks that require the function or skill that the user possesses and allows them to self-assign the task to themselves.

Now your contributors can see whatever work needs to be done, that they are capable of doing, without having to be invited to every project, so that they can help where help is most needed.

User Access

Any users that have functions attached to their profile can use the filter in Global Tasks. You must have resource management in order to use this feature.


Setup

**Important Note: This filter will only work if tasks have functions assigned to them and users are assigned to functions. If one of those isn't set up properly it won't work.

An admin user must follow these steps:

  1. Navigate to Company Details

  2. Click on the Settings tab

  3. Toggle the "Allow Contributors to Filter by Function Tasks" on

Best Practices

  • This filter only works for users who have functions assigned to their profile and only tasks with functions tied to them will appear. Click here to learn more on how to assign functions.


FAQs

What task statuses will be visible in the filter?

Not Started, Working on it, and Stuck. The filter will not show Done tasks because we don't want users to reassign completed tasks to themselves.

Can a user assign themselves to these tasks?

Yes, all users (excluding Observers) can assign these tasks to themselves.

When a user assigns themself to a task, does it invite them to the project?

Yes, the user will be invited to the project and the user will have the typical experience of being a team member on a project.

Can I grant access to this filter on a user-by-user basis?

No. This filter applies globally to all users. If you don't want a user to use this feature, keep this feature turned off.
