Bulk Assign GUIDEcx Tasks to Project Manager Recipe

Quickly Assign Tasks in GUIDEcx to the corresponding project's PM with this recipe.

Recipe Overview

This recipe uses the export from the Global Tasks page in GUIDEcx and for each row assigns the task to the corresponding project's PM. This can be used for off-boarding employees and dividing their tasks between multiple users quickly or for assigning unassigned tasks across multiple projects.

Note: This recipe uses 3 Recipe Builder tasks per GUIDEcx task updated. Refer to Recipe Builder Task Limits for more information.


Integration Setup

Prerequisites: Google Sheets Connection.

Creating the Spreadsheet

  1. In the Global Tasks page of GUIDEcx, use the filters to create a list of tasks that you want reassigned to the corresponding Project Manager. The following example was filtered to all unassigned internal tasks.

  2. Export the list.

  3. Upload the .CSV or copy the entire contents to a Google Sheet

Note: If the task contains a function that the Project Manager doesn't have, the function will be removed from the task.

Warning: This recipe will reassign any task listed in the spreadsheet to the Project Manager, confirm that the list only contains tasks that you want to reassign before running the recipe.

Configuring Individual Steps

Step 01 (Trigger)

Due to the tasks consumed and the need to update the spreadsheet for it to run, this recipe is designed to be used as a manually triggered utility. However, the trigger can be adjusted to run on a set cadence if desired.

Step 02 (Get rows from Sheet in Google Sheets)

Connect to the sheet containing the Global Tasks Export

Step 04 (Search Projects in GUIDEcx)

By default, the recipe uses the schema of the Global Tasks Export, confirm that the following fields are mapped correctly.

By default, the recipe uses the schema of the Global Tasks Export, confirm that the following fields are mapped correctly.

Running the Recipe

Rather than starting the recipe, press "Test Recipe" to manually trigger it.
