Dispatching

Learn how to facilitate resource assignment to ensure the fastest project delivery!

GUIDEcx has introduced Dispatching, a powerful enhancement to Resource Management that helps project managers identify the best candidates for project tasks.

Unlike a simple list of team members assigned to a role, Dispatching provides a stack-ranked list based on a Match Score. Users with higher scores appear at the top, helping PMs make more informed decisions.

Note: Dispatching is available only in GUIDE 2.0.


User Access

Admins, Managers, and Guides can view Match Scores and use Dispatching on the Team page within a project. No special configuration is required—Dispatching works seamlessly within the traditional Resource Management structure.

How Dispatching Works

Dispatching evaluates eligible resources and assigns each a Match Score based on factors such as workload, availability, project assignments, and scheduling considerations. The highest-ranked user is identified as the Best Match for the selected task.

Match Scores are recommendations designed to help project managers make informed staffing decisions. You can assign any eligible resource regardless of their ranking.

Requirements

For Dispatching to calculate Match Scores accurately, tasks must include:

  • Start Date

  • Due Date

  • Estimated Hours

These fields are also required for Resource Management capacity planning.


Smart Assign

Smart Assign automatically recommends the highest-ranked resource for a task directly from the Team page. Project managers can assign tasks individually or in bulk with a single click, reducing the time spent reviewing eligible resources.

The recommended assignment is only a suggestion—you can select any eligible resource before completing the assignment.


Advanced Search

Select Advanced Search to open a detailed view of each eligible resource.

Advanced Search provides additional insights, including:

  • Match Score

  • Allocation Percentage

  • Current Capacity

  • Projected Capacity

  • Active Projects

  • Assigned Tasks

  • Conflicting Tasks

  • Missing Estimation

The Current Capacity timeline displays the resource's existing workload, while the Projected Capacity timeline shows what their workload would look like if the selected task were assigned.


Understanding Resource Metrics

Dispatching includes several metrics to help you understand each resource's workload before assigning a task.

Projects

Shows the number of active projects in which the selected person has assigned tasks that overlap with the current project's timeline.

Assigned Tasks

Shows the number of active tasks assigned to the selected person during the current project's timeline.

Conflicting Tasks

Shows tasks from the current project that may overlap with the selected person's existing workload.

When scheduling conflicts are detected, this metric is highlighted with a red outline. Hover over the indicator to view additional details about the conflict.


Missing Estimation

Shows the number of tasks assigned to the selected person during the current project's timeline that do not have Estimated Hours.

Because these tasks cannot be included in workload calculations, adding Estimated Hours helps improve the accuracy of capacity planning and Match Scores.


Best Practices

For the most accurate Match Scores and capacity calculations:

  • Add Start Dates, Due Dates, and Estimated Hours to every task.

  • Review both Current Capacity and Projected Capacity before assigning work.

  • Use Match Scores as recommendations while considering your team's unique skills and availability.

  • Hover over resource metrics to view additional details about workload and scheduling conflicts.


FAQs

How is Dispatching Different from Resource Management?

Instead of a flat list of users eligible for a role, Dispatching shows a ranked list based on Match Score. Users aren’t required to select the top-ranked candidate—the feature simply provides more insight to help PMs make smarter assignment decisions.

How Does Dispatching Determine the “Best Match”?

GUIDEcx uses a proprietary matching algorithm to calculate a Match Score for each eligible resource. The user with the highest score at a given time is designated as the "Best Match."


The Match Score is designed to help identify the most appropriate resource by evaluating factors related to workload, availability, project assignments, and overall scheduling considerations. The algorithm balances multiple data points to provide a recommendation while helping teams make informed staffing decisions.


For additional context, users can review resource details available throughout the Dispatching experience, including information displayed in the Advanced Search view. The final assignment decision always remains with the user.

What is the difference between Current Capacity and Projected Capacity?

Current Capacity reflects the resource's existing workload based on their currently assigned tasks.

Projected Capacity shows what the resource's workload would be if the selected task were assigned, helping you understand the impact before making the assignment.

What does the Match Score represent?

The Match Score is a recommendation generated by Dispatching that helps identify the most suitable resource for a task based on workload, availability, project assignments, and scheduling considerations.

A higher Match Score indicates a stronger recommendation, but project managers always make the final assignment decision.

Why are some metrics highlighted in red?

A red outline indicates a potential scheduling conflict. Hover over the highlighted metric to view additional details about the conflict before assigning the task.

Why is Missing Estimation important?

Tasks without Estimated Hours cannot be included in capacity calculations. To ensure Dispatching provides accurate recommendations, make sure tasks include a Start Date, Due Date, and Estimated Hours.
