People Timeline View

Learn how to use the People Timeline View to manage workloads, track project assignments, and stay on top of tasks with a person-centered scheduling experience.

Overview

The People Timeline View is a robust project management tool designed to provide a person-centric look at workflows. Whether you are a manager balancing team workloads or an individual contributor tracking your own schedule, this view offers a clear, chronological perspective on tasks and availability.

With the People View, you can:

  • Monitor team capacity and workload distribution

  • View project assignments across multiple users

  • Manage tasks directly from the timeline

  • Identify scheduling gaps or conflicts

  • Track PTO, holidays, and availability statuses alongside tasks


Accessing the People Timeline View

  1. Locate the People tab in the left-hand navigation menu.

  2. Click People to open the timeline interface.

Note: The People tab may display a "New" badge depending on your account version.


Managers can review team workload in two ways:

  1. Reviewing Member workloads

  2. Reviewing Project-specific workloads

Leverage the filters to access both views.

1. Manager Use Case: Reviewing Team Workload

Managers can use the People Timeline View to quickly assess team availability and ensure resources are balanced appropriately.

Filter by Team Members

  1. Click + Add Filter above the timeline.

  2. Select Member from the dropdown menu.

  3. Search for and select the desired team members.

  4. Review the timeline view.

What You’ll See

The timeline displays:

  • A vertical list of selected users

  • A horizontal date-based timeline

  • Availability indicators such as:

    • On-Site

    • Virtual

    • PTO or holidays

  • Task blocks showing:

    • Task name

    • Status

    • Duration

    • Scheduled dates

This gives managers a quick visual overview of who may be overbooked or underutilized.


2. Manager Use Case: Project-Specific Resource Tracking

Managers can also filter the People View by project to understand how work is distributed across a specific initiative.

Filter by Project

  1. Click + Add Filter.

  2. Select Project.

  3. Search for and select the desired project.

  4. Review the filtered timeline.

The view will display:

  • Only users assigned to the selected project

  • Their related project tasks

  • Task scheduling and workload distribution

Adjust Tasks from the Timeline

If adjustments are needed:

  1. Click on a task block.

  2. Open the Task Drawer.

  3. Update:

    • Assignee

    • Start Date

    • End Date

    • Estimated Hours

  4. Refresh the page to see updated assignments reflected in the timeline.

Tip: This is especially useful for identifying scheduling gaps or redistributing work during busy project phases.


3. Individual Contributor Use Case: Personal Task Management

For users with a basic license, the People Timeline View provides a simplified alternative to the traditional Tasks page.

Default Personal View

When an individual contributor opens the People View, it automatically defaults to their personal timeline.

Manage Tasks Directly

Users can click on any task block to:

  • Update task status

  • Move tasks to In Progress or Completed

  • Log time

  • Send task-related messages

  • Access checklists and task details

Improved Visibility

The timeline provides a high-level overview of:

  • Current deliverables

  • Upcoming deadlines

  • PTO and holidays

  • Overall monthly workload

This makes it easier to prioritize work and manage schedules efficiently.


Key Features & Behaviors

Date Navigation

Use the controls in the top-right corner to switch between timeline ranges such as:

  • This Week

  • Next 2 Weeks

  • This Month

You can also use the date picker or navigation arrows to move forward or backward in time.

Task Drawer

Clicking any task on the timeline opens the Task Drawer, where users can access:

  • Messaging

  • Time Tracking

  • Checklists

  • Task Details

  • Status Updates

Real-Time Status Colors

Task blocks automatically update color based on task status, helping users quickly identify progress at a glance.

Examples include:

  • Grey = Not Started

  • Green = Completed

Full Task Visibility

The People Timeline View displays all tasks regardless of:

  • Estimated hours

  • Assigned roles

  • Resource allocations

This ensures complete visibility into project activity and scheduling.


FAQs

Why don’t I see other users in the People View?

Your account permissions may limit visibility to only your own tasks and assignments.

Why aren’t task updates appearing immediately?

Refreshing the page will reload the latest task assignments and timeline updates.

Can I edit tasks directly from the timeline?

Yes. Clicking a task opens the Task Drawer where you can update task details, assignments, dates, and statuses.

Does the timeline show holidays and PTO?

Yes. Approved availability statuses and holidays appear directly in the timeline for improved scheduling visibility.
