Gantt View 2.0

Setting accurate expectations is pivotal to an enhanced customer experience. The Gantt View provides a bird's-eye perspective of a project, allowing you to quickly present timelines to executives and provide customers with regular, visual updates.

Overview

Gantt View gives you a visual timeline of your project’s tasks, dependencies, and schedule. Use it to review project progress, identify schedule risks, and give executives or customers a clear view of where the project stands.

User Access

  • Viewing: Gantt View is available to all internal users. Customer and Third-Party users can also access it when they have the Full Project view.

  • Editing: Only Admins, Managers, and Guides can make changes from Gantt View.

Navigating to Gantt View

  1. Click on a project.

  2. Select Gantt View from the view options in the upper right corner of your screen.

The Gantt View opens with project details in a table on the left and the visual project schedule on the right.


Customizing Your Display Settings

Select the gear icon above the Gantt chart to control what information appears on the timeline.

You can turn the following options ON or OFF:

  • Draw dependencies: Shows dependencies between tasks and allows users with editing access to create or edit them. Any edits made here will reflect on the project plan.

  • Critical path: Highlights the chain of dependent tasks that determines when the project finishes. If a task on the critical path is delayed, the project finish date is also affected.

  • Task labels: Displays task names next to their task bars on the timeline.

  • Highlight non-working time: Shades weekends or designated non-working days based on your workspace time zone settings.

  • Project lines: Displays vertical markers for key project boundaries, such as the Project start marker.

  • Progress line: Adds a visual indicator that helps you compare current task progress with the planned schedule.

  • Hide schedule: Collapses the Gantt timeline on the right so you can use more screen space for the project details table.

For an executive progress review, consider showing the Critical path, Project lines, and Progress line so stakeholders can quickly understand timing and potential schedule impact.


Review project progress

Gantt View includes several visual tools that help you understand the project without opening individual tasks.

View task details

Hover over a task bar to see its:

  • Start date

  • Due date

  • Duration

  • Percent complete

This can help you answer schedule questions during a project review without leaving the Gantt View.


Understand task colors

Task bars use different colors to distinguish project items:

  • Phases are purple.

  • Milestones are blue.

  • Parent tasks, regular tasks, and sub-tasks are green.

Expand or collapse project work

You can expand or collapse the tasks and task groups nested under milestones. Collapse sections that are not relevant when you want to focus an executive review on a specific part of the project.

Adjust the timeframe

Use the zoom controls above the chart to change how much of the schedule you see.

  • Zoom in to focus on a shorter timeframe.

  • Zoom out to review a broader period, such as a month or quarter.

  • Zoom to Fit to display the full project timeline on one screen.

A useful starting point for a stakeholder review is Zoom to Fit. From there, zoom in if you need to discuss a specific phase or upcoming set of activities.


Edit tasks from Gantt View

Admins, Managers, and Guides can edit project information directly from Gantt View.

Adjust tasks on the timeline

  • Drag and drop task bars on the timeline to change task durations:

    If there is a dependency that would create circular dependencies then an error will appear!

Edit the project details table

Assign out tasks from directly within the project details table.

Any other edits (changing start/due dates, updating task custom fields, adding a message, etc) can be done by selecting the task name to open the full task drawer.


Customize the table

You can:

  • Drag column headers to change their sequence.

  • Hide columns you do not need.

  • Sort columns to make project information easier to review.

*Changes to the column sequence are not saved permanently.


Export project details

You can export the raw project details shown in the table to Excel.

The export contains project data rather than an image of the Gantt chart. If you need a visual Gantt chart outside GUIDEcx, export the milestones and tasks and create a Gantt chart from that information in Excel.


Tips for executive and customer updates

When you are preparing to share project progress:

  • Start with Zoom to Fit to establish the overall project timeline.

  • Turn on Critical path to identify work that directly affects the project finish date.

  • Use the Progress line to compare current progress with the planned schedule.

  • Collapse milestones or task groups that are not relevant to the discussion.

  • Collapse the left-hand navigation rail to give the project timeline more screen space.

  • Review task visibility before presenting the project to external users so customers see only the tasks intended for them.

These settings can help you keep a progress conversation focused on milestones, upcoming work, and areas that may affect the schedule.


Frequently asked questions

Can I export Gantt View as a visual chart?

Gantt View does not currently export as a visual chart. You can export the list of milestones and tasks from Gantt View to Excel and then create a Gantt chart within the exported workbook.

Can Customer and Third-Party users see Gantt View?

Yes. Customer and Third-Party users can access Gantt View when they have been assigned the Full Project view.
