Set Up and Use Brands for Projects (2.0)

Learn how to create brands, assign them to projects, customize the project experience, and filter projects by brand in GUIDE 2.0

Overview

Brands let you give individual projects a distinct name, color, and logo while managing all of your projects from a single workspace.

Once a brand is assigned to a project, the project experience uses that brand's identity. You can also configure customer invitation emails to reflect the brand associated with the project.

Brands are especially useful for organizations that manage projects across multiple business units, products, partners, or customer-facing identities.

Why use brands?

Brands help you:

  • Give each project a recognizable identity.

  • Display a brand-specific name, color, and logo throughout the project experience.

  • Use the associated brand in customer invitation emails.

  • Easily find and review projects by brand from the Projects page.

  • Manage multiple customer-facing identities from one workspace.

Before you begin

Before creating a brand, have the following ready:

  • Brand name: The name you want users and customers to see.

  • Brand color: A color that represents the brand. Darker colors are recommended because very light colors may make text difficult to read.

  • Brand logo: An image file to use as the brand logo.

  • Projects: Know which projects should use the new brand.

Note: Only Admin with Workspace Settings access can create or delete brands. Admins, Managers, and Guides. also need permission to edit a project's Details page to assign a brand.

How brands work

Brands are created at the workspace level and can then be assigned to individual projects.

Each brand includes:

  • A name

  • A hex color

  • A logo

After you assign a brand to a project, the project's identity updates immediately. The assigned brand is also displayed in the Brand column on the Projects page, where you can filter projects by brand.

A project can only have one assigned brand at a time.

Create a brand

  1. Select your workspace name in the upper-left corner to open the workspace menu.

  2. Select Workspace Settings.

  3. Select the Brands tab.

  4. Select + Add brand.

  5. Enter the brand name.

  6. Select Add color and choose the brand color.

  7. Select the logo placeholder and upload the brand's logo.

  8. Wait for the uploaded logo to appear in the Logo column.

Your brand is now available to assign to projects.

Choose a brand color that provides enough contrast for text to remain easy to read. Very light colors may make the project experience difficult to read.

Use a brand in customer emails

You can optionally configure your workspace so that customer-facing emails reflect the brand associated with a project.

  1. Open the workspace menu.

  2. Select Settings.

  3. Find Email display name will reflect the brand associated with the project.

  4. Turn on the toggle.

Once enabled, emails for projects with an assigned brand can use that brand in the email display identity.

Assign a brand to a project

Once a brand has been created, you can assign it to a project.

  1. Open Projects.

  2. Select the project you want to brand.

  3. Select Details in the project navigation.

  4. In the Settings section, open the Brand menu.

  5. Select the brand you want to use.

The project updates immediately to use the selected brand's name, color, and logo.

Verify the customer invitation

If you're using branded email display names, assign the brand before sending the customer invitation.

  1. Open the project and assign the desired brand from Details > Settings > Brand.

  2. Add the customer from the Team page.

  3. Start the project when you're ready to send kickoff communications.

  4. Check the customer invitation email.

The invitation can reference the brand associated with the project, such as:

{Example Company} has invited you to a project.

Find projects by brand

You can use project filters to quickly find projects associated with a specific brand.

  1. Open Projects.

  2. Select + Add Filter.

  3. Select Brand.

  4. Set the operator to Is one of.

  5. Select the brand you want to view.

The Projects page displays only projects assigned to the selected brand. The Brand column also displays the associated brand logo.

Change or remove a project's brand

To change the brand assigned to a project:

  1. Open the project.

  2. Select Details.

  3. In the Settings section, open the Brand menu.

  4. Select a different brand or Use default.

Note: The exact fallback behavior of Use default may depend on your workspace configuration.

Delete a brand

Before deleting a brand, review the projects currently using it and determine whether those projects should be reassigned.

  1. Open the workspace menu.

  2. Select Workspace Settings.

  3. Select the Brands tab.

  4. Locate the brand you want to remove.

  5. Select the trash icon.

The brand is deleted and removed from the list.

Warning: Deleting a brand may affect projects that are currently using it. Review affected projects before deleting a brand.


Example: Using Brands in Practice

Let's say your organization manages projects for two business units:

  • ThunderCats

  • CamBam

1. Create the brand

An administrator creates a CamBam brand with:

  • 🟢 CamBam's brand color

  • 🖼️ CamBam's logo

  • CamBam as the brand name

2. Assign the brand

A project manager opens a CamBam project and selects CamBam from the Brand menu.

3. The project is branded

The project immediately updates to use the CamBam identity, including its:

  • Name

  • Color

  • Logo

4. Brand customer communications

If branded email display names are enabled, customer invitation emails can also reference CamBam.

5. Find branded projects

Later, the team can filter the Projects page by Brand to quickly find and manage all CamBam projects.

The result: One workspace can manage projects for multiple business units while giving each project the right customer-facing identity.


Best practices

Create brands before creating projects

If you know a project will use a specific brand, create the brand ahead of time. This makes it easy for project managers to select the correct identity when setting up the project.

Use consistent brand assets

Use the same brand name, logo, and colors that customers recognize elsewhere in your organization. Consistency helps customers immediately understand which business unit, product, or partner they are working with.

Choose accessible colors

Avoid extremely light brand colors. A darker color generally provides better contrast and makes project content easier to read.

Review projects before deleting a brand

Because brands can be assigned to active projects, check which projects use a brand before removing it.

Assign the brand before sending invitations

If you're using branded customer emails, assign the brand before sending the invitation so the appropriate brand can be reflected in the communication.

Troubleshooting

My brand doesn't appear in the Brand menu

Go to Workspace Settings > Brands and confirm the brand exists.

If you're creating a new brand, make sure you've completed the brand name before adding the color and logo.

My project still shows the default workspace identity

Open the project and go to Details > Settings > Brand. Confirm that the intended brand is selected instead of Use default.

The project identity should update immediately after selecting the brand.

Customer emails don't reflect the brand

First, confirm that the brand was assigned to the project before the invitation was sent.

Then go to Settings and make sure Email display name will reflect the brand associated with the project is enabled.

The text is difficult to read with my brand color

Edit the brand and choose a darker color. Very light colors may provide insufficient contrast for text in the project experience.

My logo isn't appearing

Go to Workspace Settings > Brands and check the brand's Logo column.

If the logo is still uploading, wait for the upload to finish before checking the project again.

My brand filter doesn't return any projects

Check that your filter is configured as:

Brand > Is one of > [brand name]

Then open an expected project and verify that the same brand is selected under Details > Settings > Brand.

FAQs

Can I use multiple brands in the same workspace?

Yes. You can create multiple brands at the workspace level and assign them to individual projects.

Can a project have more than one brand?

No. A project can have one selected brand at a time.

Does changing a project's brand update it immediately?

Yes. The project updates immediately after you select a different brand.

Can I filter projects by brand?

Yes. Use + Add Filter > Brand on the Projects page to find projects associated with a specific brand.

Do brands change the workspace's identity?

No. Brands provide a distinct identity for individual projects while allowing all projects to remain managed within the same workspace.

Can brands appear in customer invitation emails?

Yes, if the workspace setting Email display name will reflect the brand associated with the project is enabled and the project has a brand assigned.

Can I create or delete brands from a project?

No. Brands are managed from Workspace Settings > Brands. You can assign a brand to an individual project from the project's Details page.

Can I assign a brand to multiple projects at once?

Brand assignment is performed at the project level. A bulk-assignment workflow is not currently built out.
