Overview

GUIDEcx sends automated emails to task assignees when their tasks are active, almost due, and overdue. By default those emails come from hello@guidecx-mail.com, but when you verify your domain those emails will come from the assigned project manager's email address!

User access

Only GUIDEcx Admins can verify the domain.

How to Verify your Domain

  1. Grab the required DNS records from Company Details >>> Settings >>> Email Section in GUIDEcx

  2. Access your DNS settings (usually your IT department will have this access)

  3. Add those DNS records

  4. Once those records have been added, go back to Company Details >>> Settings >>> Click Verify!

  5. A green check means it's good to go!

Best Practices

  • If you choose not to verify/authenticate your domain with GUIDEcx, all GUIDEcx related emails will be sent from hello@guidecx-mail.com which we don't recommend. I guess you could say that this is an anti-best practice.

FAQs

Do you spoof my email address?

To email on your behalf, we use a technology called DKIM (DomainKeys Identified Mail) to sign the messages we send. These signatures against the DNS record you set up for your domain. Read more about DKIM here.

What if two or more of my sender addresses use the same domain?

You’ll only need to configure one DNS entry to enable DKIM signing for emails sent using any of these addresses.

Do I need SPF?

No, GUIDEcx handles that for you. Emails sent from GUIDEcx include a return-path header. When a recipient mail server receives one of our emails and checks the SPF record of the domain in our return-path, they will see that our sending IP addresses are authorized senders. This means emails sent through GUIDEcx will pass authentication automatically and you don't need to set up any records yourself.

I got an error while trying to verify my domain. What should I do?

Remove your company URL from the entries and try again. Many DNS providers will only ask you to fill in the name of your subdomain. If that error persists, please contact your onboarding manager for help!

If I verify my domain, will all GUIDEcx emails send from the project manager?

No. See the breakdown below of how emails will send:

*Internal only

**Notification only sent to product manager

***If the user is added to more than one project the project overview email will come from hello@GUIDEcx-mail.com
