Editing Tasks

Learn how to edit an active task; changing task status, changing the due date, and making other general edits.

Overview

Processes are dynamic and there might arise the need to tweak tasks owing to the agile environment.


User Access

  • Admins and Managers can edit task details in Projects and Templates.

  • Guides can edit task details in the Projects they are added to. Guides can view Task Type details in Templates.

  • Task Owners can edit Regular Task's details in projects they are added to.


How to Edit an Active Task

After a task has been created, you still have the option to make any edits needed both in a template and an active project. To do this,

  1. Click on the three dots in the top-left corner of the task card. This opens up the task menu where you can edit a task.

  2. Here, you can change the instructions of a task, add a checklist, and many more. Feel free to explore here.

  3. Just remember to hit “Save” in the “Details” tab when you’re finished making changes.


Changing the Status of Your Tasks

You can find a list of your tasks under the "My Tasks" tab in each project. To change the status of a task assigned to you, simply click on the colored status bar and pick your current status from the drop-down list.

You can select from the following four statuses:

  • "Not Started" (default)

  • "Working on It"

  • "Stuck"

  • "Done"

If you select the "Stuck" status, your project manager will be notified.

“Not Applicable” Task Status

Tasks can be marked "Not Applicable" if a task is no longer relevant within the scope of a project. The task will remain on the internal project view as unassigned and minimized but will be removed from the customer's view.

  • Contributors can update any task that is assigned to them as "Not Applicable".

  • Task Owners & Guides can mark any task in any project they are invited to as "Not applicable", or from "Not Applicable" to "Not Started".

  • Guides can also change a task from "Not Applicable" to "Not Started".

  • Managers & Admin users can update all tasks (in any project) to a “Not Applicable” status or from “Not Applicable” to "Not Started".

  • External users will not see "Not Applicable" as a status option.

When a task is marked “Not Applicable”, internal team members (your own company users) will see the task status grayed out and collapsed as shown below. "Not Applicable" tasks are hidden from customer and third-party users' views.

Change a Due Date for a Task

Due date changes can only be made in a live project, not in the template editing. This is because templates are applied to real-time projects and act as a framework. Due dates are customized to each project.

To change the due date of a task…

  1. Click on the name of the task or click on the three dots on the top-right of the task card.

  2. Scroll to the “Due Date” field under the “Details” tab.

  3. Enter a new date.

  4. Hit “Save”.


Best Practices

  • It is advisable for only the project manager to edit task details as the information is received by all team members on the project as instructions.

No, customers cannot edit task details even for the tasks assigned to them!
