Editing Templates

This article will provide you with the steps to edit templates and their visibility on both a Template and Project level.

Overview

Templates help to make your onboarding process standardized, but that doesn't mean that they won't change and be improved upon.
Edit your blueprint templates as you iterate upon your processes.

Edit your project templates to make personalized customizations to the project.


User Access

Admin users can edit Templates at both the Template and Project Levels.

Manager users can edit Templates at both the Templates and Project Levels.

Guide users can only edit Template Settings at the project level.


How to Edit Templates at the Template Level

Admin & Manager users can edit templates at the template level as seen in the video above. Changes made at this level will only affect new projects that the template is added to. Older projects will remain unaffected.

  1. Locate the "Templates" tab in the far left column.

  2. Select a template you want to edit

  3. At the top right corner of that template select the three vertical dots

  4. Make changes to the template like visibility, hyperlinks, experience overview, etc.


How to Edit Templates at the Project Level

Admin, Manager, & Guide users can edit templates at the project level as seen in the video above. Changes made at this level will only affect the individual project being edited. Other projects will remain unaffected.

  1. Select the Project you would like to edit

  2. Locate the three vertical dots in the top right corner of the page

  3. Select "Edit Templates"

  4. Make changes to each template used in the project like, hyperlinks, experience overview, etc. under the "Template Info" Tab

  5. Use the Add/Remove Tab to change the order in which templates appear in a project by dragging

  6. Add or Remove Templates to this individual project to further customize

  7. Individual tasks and milestones may also be added or removed from each template on a project


Best Practices

  • The FIRST template of a project is the one whose Experience Overview will be sent in the project invitation. Make sure to confirm that it is the correct message you are wanting to be sent!

  • Do not publish a template until it is ready to be used. Publishing a template makes it available to be used when creating a project.


FAQs

How do I undo edits or restore a template?

Open a project where the desired version of the template was uploaded and go to Edit Templates to create the project plan as a template.

Can Task Owners Edit Templates?

Task Owners can ONLY add and remove regular tasks on templates at the project level within an existing milestone. They do not have access to Template Settings.

Can Contributors Edit Templates?

Contributors cannot make changes to templates in any way.

If I update a template at the Template level, will active projects be affected?

No. Active projects are unaffected by changes made to templates at the Template level. Active projects will need to be edited individually if template changes are necessary.

Can I export my template into a .csv file?

Yes! There isn't an option directly within the template but you can create a test project from the template and then follow the steps HERE to export the project plan.
