Experience Overview

This article will provide best practices and tips for crafting an experience overview for your customers.

Overview

The Experience Overview is what will be sent to your customers when they receive the project invitation and view the project in GUIDEcx and will set the tone and expectations for what the onboarding experience.


User Access

Admins can edit the experience overview in both templates and projects.

Managers can edit the Experience Overview in both templates and projects.

Guides can only create and edit the Experience Overview in a project they created or are invited to.


How to Set Up Your Experience Overview

  1. Navigate to the "Projects" page using the button on the left hand menu column

  2. On the "Projects" page, click "+Add Project"

  3. At the bottom of this first page of setting up a project, you can craft the project's Experience Overview to be seen by anyone invited to the project.

  4. Alternatively, you can edit the Experience Overview of an active project by selecting the "Edit Templates" button in any project. Anyone invited to the project after the change will receive the updated Experience Overview.


Admins and Managers can also edit the Experience Overview from the Templates Page. Click templates, select a template to make changes to, and hit Edit.


Experience Overview Video

By default (as of 10/18/24), the YouTube Video Link for new Templates will be the GUIDEcx Customer Introduction Video: https://youtu.be/i3TzjLuSvLs.

If you'd like to change this default experience, you can replace the introduction video with a YouTube Video Link of your choice. If you'd like to download our Customer Introduction video to further customize it to meet your needs, you can do that here.

Best Practices

  • The experience overview is the first communication with your customer from the onboarding project. so make this engaging and to the point. The email with the experience overview will send to a customer as their project invitation.

  • As you’re setting expectations around the onboarding/implementation process, you can set expectations with a quick sentence for how to interact with the GUIDEcx system as well.

  • Organize information in your experience Overview by formatting with bullet points, bold, and italicized text where needed.

  • Include a video with your Experience Overview. Talk to your CSM about videos that GUIDEcx offers or create your own to get customers onboard and excited for your implementation process.

FAQs

Who can create or edit the Experience Overview?

Any internal team member with the Admin, Manager, or Guide license.

Will all team members receive the experience overview in their project invite?

The only team members who will NOT receive the experience overview are those who are restricted to a "My Tasks" view when they are added to the project.

Pro Tip! If you want a customer to receive their experience overview, but also want to restrict their view to "My Tasks Only" - Consider adding them with Compass View!

Another option would be to add them with full project view so they get the invite with the experience overview, and then edit their project view after adding them. See how to change a customer's project view HERE.

Will the video be included in the email invite?

Yes! Depending on the user's email provider it may display to them differently. But it will include the video as well as the link to the video.

Will the image placeholder be included in the email invite?

No. But it WILL show in the project overview tab of the project.

What will show if I do not add an image or video to my experience overview?

Your company logo that is uploaded into GUIDEcx settings.

If you are utilizing brands you will want to make sure to either utilize an image/video at the template level or make sure to manually update that during project creation.

Can I add a video AND an image to my experience overview?

The image option is there so that you can have something there other than your company logo if you do NOT want to have a video there.
If you want to include both, something I would recommend is using the image placeholder and then the text URL of the video link.

Can I use a video that isn't from Youtube?

The video link will only work for youtube videos, but you can include the text URL of a video that is not hosted in youtube.

What is the optimal dimensions for the experience overview image?

  • Minimum is 400 x 400

  • Maximum is 600 x 600
