Overview

Introducing this new feature that will allow for bulk deletion of projects and bulk reassignment of PM’s on the project!

We understand that you would like more flexibility and control when interacting with the table and one of the primary advantages of performing actions on the table itself is that you don’t have to load the full project. So while we market these tools as “bulk” we are excited that they have multiple applications and that a user might simply delete or reassign a single project, but do it directly from the table rather than loading the full project.

The other benefit to using our new table actions is that we have unique functionality tied to these commands that doesn’t exist anywhere else within the application. This is especially true for reassigning the PM on a project and being able to transfer incomplete tasks to the new project manager.


User Access

Only Admin and Managers will be able to bulk action on projects. Guides and below will not see an option to bulk action.


How to Bulk Delete Projects

  1. Hover over a project, a checkbox on the far left will appear

  2. Mark the checkbox and you'll see other checkboxes appear for other projects.

  3. Select other projects

  4. After selecting desired projects, click on the "Bulk Actions" button

  5. Select Delete

  6. Type "delete" into the text field to confirm the action.

  7. Click the Delete button.

  8. The projects will then be soft deleted.

Note: This is a soft delete and the projects can still be restored for up to 30 days, after which they will be permanently deleted.


How to Bulk Reassign Projects

  1. Hover over a project, a checkbox on the far left will appear

  2. Mark the checkbox and you'll see other checkboxes appear for other projects.

  3. Select other projects

  4. After selecting desired projects, click on the "Bulk Actions" button

  5. Select Reassign

  6. Select the new PM

  7. Check the following boxes as needed (see the legend below for more info on that):

    1. "Don't send project invite email to Project Manager"

    2. "Transfer and reassign incomplete tasks to new Project Manager"

    3. "Assign all unassigned internal tasks to the PM"

    4. "Don't send any task assignment emails"

  8. Click the Reassign button.

  9. The projects will then be reassigned.

Here's what each checkbox means:

  • Don't send project invite email to project manager: If checked, the project invite email will not be sent. If left unchecked, the project invite email will be sent to the new project manager.

  • Transfer and reassign incomplete tasks to new project manager: If left checked (by default it will be checked) all tasks assigned to the former PM with a status of Not Started, Working On It, and Stuck will assign to the new PM. If unchecked, no open tasks will be reassigned. They will be left unassigned.

  • Assign all unassigned internal tasks to the PM: If checked then any unassigned internal tasks will be assigned to the new PM. If left unchecked, then any unassigned internal tasks will remain unassigned.

  • Don't send any task assignment emails: If checked, the task assignment emails will not be sent. If left unchecked, task assignment emails will continue to be sent.


Best Practices

  • When deleting projects, triple check which projects you are looking to delete.

  • When reassigning projects, make sure you leave the transfer and reassign incomplete tasks to new project manager! That way nothing slips through the cracks.


FAQs

Can I restore a project if I accidentally deleted it?

Yes. Since projects aren't permanently deleted (they are soft deleted when you do it in bulk) you can recover them by following these steps.

When I reassign a project, will the former Project Manager remain on the project?

Yes. You will need to manually remove them from the project if you don't want them on the project anymore!

If tasks in a project that I'm reassigning have functions, how will those be reassigned?

If the tasks have a function associated with them and the PM receiving the projects and tasks has that function then we will transfer/reassign those tasks to the new PM. If the PM doesn’t have that function, then we will not transfer the tasks and they will remain assigned to the old PM.
