Dispatching Beta - GUIDE 2.0

GUIDEcx has introduced Dispatching, a powerful enhancement to Resource Management that helps project managers identify the best candidates for project tasks.

Unlike a simple list of team members assigned to a role, Dispatching provides a stack-ranked list based on a Match Score. Users with higher scores appear at the top, helping PMs make more informed decisions.


User Access

Admins, Managers, and Guides can view Match Scores and use Dispatching on the Team page within a project. No special configuration is required—Dispatching works seamlessly within the traditional Resource Management structure.

What is Dispatching?

Dispatching is an enhanced version of Resource Management that uses a Match Score to highlight the “best match” for task assignments. Users familiar with Resource Management will find Dispatching intuitive and easy to adopt.

Special Note: Tasks must have a Start Date, Due Date, and Estimated Hours to be considered by the Dispatching engine. These data points are also required in the legacy Resource Management system.


How is Dispatching Different from Resource Management?

Instead of a flat list of users eligible for a role, Dispatching shows a ranked list based on Match Score. Users aren’t required to select the top-ranked candidate—the feature simply provides more insight to help PMs make smarter assignment decisions.


Smart Assign

Dispatching includes Smart Assign, which automatically surfaces the top “Best Match” for a task directly on the Team page. PMs can assign tasks in bulk with a single click, reducing the need to manually analyze the ranked list.


How Does Dispatching Determine the “Best Match”?

GUIDEcx uses a proprietary algorithm to calculate a Match Score. The user with the highest score for a role at a given time is designated the “Best Match.”

The score factors in multiple elements, including Allocation Percentage, which is displayed in the Advanced Search view for additional context.


Advanced Search

For more detailed insights, the Advanced Search option launches a modal that shows:

  • Allocation Percentage

  • Match Score

  • Current and projected capacity

  • Metrics on tasks and projects outside the current project

This provides PMs with deeper visibility to make informed assignment decisions.


FAQs

What is the difference between the Current Capacity and Projected Capacity timelines?

This feature is still under development. The Current Capacity timeline displays exactly what a user is working on at this moment and reflects limited availability if they already have tasks assigned. The Projected Capacity shows what the user’s availability would look like if you proceed with the proposed role assignment.

What do the metrics below the capacity timelines mean?

Assigned Tasks: This shows the total number of tasks associated with this role that are already assigned to the user across all projects. For example, if a user has 2 tasks on Project A assigned and 2 tasks on Project B, Assigned Tasks would display as "4".

Projects: This metric is still under development and is currently inaccurate. It will display the number of active projects the user is on with that role.

Conflicting Tasks: This metric alerts users to conflicting tasks where a user doesn’t have enough capacity to complete a task given its estimated time.

Missing Estimation: # of tasks assigned to a user missing estimated hours. These tasks will not be reflected in capacity planning. Make sure start date, due date, and estimated hours are added to every task for dispatching accuracy.
