How to manually create a new project

Overview

Projects are the foundation of successful customer onboarding in GUIDEcx. They help you track progress, assign tasks, and provide a seamless experience for both your team and your customers.

In this guide, you’ll learn how to create a project from start to finish — including key steps, helpful tips, and common pitfalls to avoid.


👥 Who Can Create a Project?

Only users with one of the following roles can create projects:

  • Admin

  • Manager

  • Guide

If you don’t see the "+ Add Project" button, check your user role or talk to your account admin.


🚀 How to Create a Project

To get started, head to the Projects tab in the left-hand menu, then click the black "+ Add Project" button.

A window will open. Follow these five steps to complete your setup:


Step 1: Add Project Details

Fill in the key details of your project:

📝 Required Fields:

  • Project Name

  • Project Manager (the person responsible for managing internal progress)

⚙️ Optional Fields:

  • Assign unassigned internal tasks to the Project Manager (not required, but strongly recommended so nothing slips through the cracks)

  • BCC Options for internal tracking of project emails

  • Select a Brand (if you manage multiple brands. Read more about that here)

  • Select a Billing Type and/or Cash Value

    🔍 Best Practice: Use either MRR or ARR consistently for accurate reporting.

  • Attach Documentation or Hyperlinks (e.g., contracts, statements of work)

  • Populate Custom Fields + Merge Tags as needed


Step 2: Select the Project Templates

You can select as many templates as needed or just one. Or if you're not ready to select one, then you can skip this step!


Step 3: Set the Project Timeline

Choose your Start and End Dates.

Key Things to Know:

  • The start date defaults to the day the project was created.

  • The end date auto-populates based on the selected template’s task durations.

  • You can choose to show or hide the forecasted end date.

📊 The forecasted end date reflects task durations and dependencies — perfect for setting expectations.


Step 4: Add Customer Details & Select Project Type

Choose between two project types:

🔹 EXTERNAL

For customers and stakeholders outside your organization.
You’ll need to:

  • Create a new customer company or select an existing one.

  • Add the URL and logo to personalize their experience.

  • Add a point of contact (Note: This doesn’t invite them yet!).

🔸 INTERNAL

Use this for internal onboarding (e.g., new hires) or internal projects.

⚠️ Important: Once selected, the customer/project type cannot be changed later.


Step 4: Finish Setup & Start Assigning Tasks

You did it! 🎉 Your project is now ready.

❓ Frequently Asked Questions

Can I change the customer or project type later?

No. You’ll need to delete the project and start over.

Why can’t I create a project?

Here are some common reasons:

  • Permissions: Only Admins, Managers, or Guides can create projects. Check your role with your team admin.

  • Customer URL Format: URLs should be clean and end after “.com”.

  • Testing with your own company: GUIDEcx blocks using your own URL to prevent accidental live projects. For testing, use a fake or unrelated company.

💡 Example: If you’re a healthcare tech company, test with a fictional coffee shop like “brewbuddy.com” to clearly mark it as non-production.

FAQs

Can I change the customer or project type after creation?

No. You'll need to delete the project and start back at step 1.

Why can't I create a project?

Check out these Common reasons for issues when creating projects and then if issue persists, please reach out to us via the chat bubble on the bottom-left corner of the GUIDEcx screen and we’d be happy to help you.

  • Permissions: Users with Admin, Manager or Guide user permissions are able to create projects. If you were not given these permissions, you will need to contact your company's GUIDEcx Admin or Manager user to have your role changed.

  • Customer URL issues: Your customer's URL is their unique identifier in the GUIDEcx system. When you create a project, you will need to input the tail of your customer's URL. For example, www.guidecx.com would be credited as guidecx.com. URLs should also have nothing after the ".com". Some common problems with your URL could be an extra "/" or other characters after the “.com”.

  • Using your own URL for testing purposes - Another issue some of our customers run into when creating test projects is adding their own URL as the customer. Our system has validation built into it that prevents this. If you would like to demo test a project, add a customer that you would not normally work with so that it can clearly be seen that the project is for testing purposes. For example, an automotive software provider might test their templates by adding a coffee company as the customer. Just make sure not to send out that experience overview!
