Overview
Categorizing projects using differentiators like - the team working on it, the product being implemented, the timeline being followed, etc allows users to have quick access to the lists of projects they want to look at or export.
User Access
Admin, Manager & Guide users can edit/add/create/remove tags.
Task Owners, Contributors, Observers, Customers, and Third-Party users can view these tags on the projects and use them to filter the project list view.
How to Create and Add Project Tags
Users can add a tag to a project from either the Projects list page or within the header of an individual project.
When hovering under the project name you will see a “ghost” tag that indicates you are in the clickable area where you can add or edit tags.
3. Click this area and launch the Tag Manager
4. Click the “+ Create Tag” button and then proceed to name the new tag and select a color for the tag.
5. The lock icon is used to determine whether a tag is “Internal” and hidden from customer’s view or “External” and visible to customers.
6. Click “Save”
7. The newly created tag will be automatically added to the project.
8. If a user simply wants to add an existing tag rather than creating one, they search for the name of the tag and click the “+” button on the right hand side of the name.
Managing Tags
At any time tags can be managed and updated through the Tag manager modal that launches when users click to add tags. From this modal users change the name, visibility or color of the tags. This is a universal management feature and any changes made to the tag will be applied across all projects. This is the same paradigm that existed in our legacy version of Project Tags.
Using Tags in Recipes & Integrations
Currently the 2.0 version of Project Tags are not available for use with our API and Workato recipes. However, this functionality is being developed and will become available in the near future.
Legacy Tags vs. GUIDE 2.0 Project Tags
We have not yet migrated your legacy project tags, but we do plan to do so in the near future. This means that if you have a legacy project tag called “Integrations” and you create a new 2.0 Project Tag called “Integrations”, those are two separate tags and if you were to filter or report on them, they will be treated separately. This article will be updated when we migrate your existing tags to GUIDE 2.0.
Best Practices
Color Coordinate your tags!
Ensure the visibility of the tag is set to hidden when tagging a project if you do not wish for the customer to see it. Keep the tag visible to external users if you wish for them to easily filter projects and save the filter for quick access.
