Managing Templates Within a Project

Overview

GUIDEcx allows you to add multiple templates to your project experience to accommodate handling the variable nature of your projects; i.e. stages, products, or responsibilities.

You can add multiple templates to a project when creating the project or after the project is live. After adding multiple templates, you can always adjust the project as needed by dragging and dropping, adding, and deleting milestones and tasks.


User Access

Admin users can manage templates within a project.

Manager users can manage templates within a project

Guide users can manager templates with a project they have been invited to.


When creating the project

To pull in multiple templates to your project during the "Project Create" process, simply click the templates you'd like to add as shown below.

You can make changes to the template details, experience overview, name, etc during project creation if you would like.

Once the project is created, your templates will then be displayed as tabs within your project as shown in the below screenshot.

When the project is live

Once created, the templates will display in your project in the order that they were selected. But you can reorder the templates if needed after you have spun up the project.

As of August 2023, there is now a shortcut to adding/editing templates. Simply click on the "+" sign by the templates (see screenshot)

  1. Click the "+" sign to the right of your project's templates

  2. Click on the “Add/Remove Templates” tab.

  3. The templates in the project will show up in the order they display in the project. Drag and drop which order you’d like them to be in.


Template Tracker / Progress Bar

If you have more than one template in a project, the multiple templates will show their individual progress status. The progress bars for the templates are shown at the top of the project above the milestones and below the main project tabs.


Best Practices

  • If you frequently add multiple templates to a project, name your templates in a way that will make it easy to select them in the desired order.

    • Ex:

      • 1. General Onboarding

      • 2. Software Conversion

      • 2. New Start Up

      • 3. Platinum Training Package

      • 3. Gold Training Package

      • 3. Silver Training Package

  • The Experience Overview that will send with your project invite is going to be from the FIRST template in your project.


FAQs

Does it matter what order my templates are in?

Probably. Here are three reasons why it might matter!

  1. The first template is the one that determines the experience overview messaging that is sent in your project invite.

  2. You can only make tasks dependent on templates that come before them

  3. You want to make things as easy to understand for your customer as possible. Set up your templates in a way that is logical for them to look at.
